Our client is a leading Global Manufacturing and Production company specialising in the manufacturing of water technology products based in Johannesburg.

Job Description

The role of the Executive Assistant in the Manufacturing and Production industry entails the following:

  • Arrange meetings by sending invitations and follow-up where necessary to ensure all necessary attendees have confirmed attendance
  • Issue meeting Agenda and ensure previous minutes have been actioned
  • Prepare documentation packs for meetings
  • Ensure all relevant information is submitted by meeting participants prior to meetings
  • Ensure all task status have been updated by participants prior to the meeting
  • Take minutes of meetings and transpose in "task" format in One Note and record in all relevant planned meetings where task is to be raised
  • Issue tasks and manage task database for branch & regional mangers
  • Accompany the GM on branch visits when required
  • Assist the GM with task management and completion through delegation and/or assist the GM with completion of tasks
  • Welcomes guests and customers by greeting them, in person or on the telephone
  • Answer the GM's telephone calls and manage, defer or delegate queries
  • Prepare correspondence
  • Type memos, letters and documents
  • Screen telephone calls and handle enquiries, when appropriate
  • Gather information from managers and ensure deadlines are met
  • Analyse and interpret information received from Managers
  • Request additional information from Managers where missing /required
  • Query resolution with relevant personnel and report back to GM and other managers where applicable
  • Compile business reports on Excel and Word
  • Electronic filing of all reports
  • Make company bookings in lieu of flights, accommodation and car rental
  • Prepare overseas travel itinerary
  • Plan Strategy sessions and events
  • Plan meetings and trade shows by identifying, assembling, and coordinating requirements; establishing contacts; developing schedules and assignments; coordinating mailing lists

The Successful Applicant

The suitable candidate should possess the following:

  • Executive Assistant with business analytical acumen and financial experience at a senior level
  • B.Com or other business related degree
  • Minimum 5 years experience
  • Prior experience working in a multinational organisation
  • Ability to start immediately or at short notice
